I. Overview:
1. The Social Committee is a sub-committee of AGS Internal Affairs focused on fostering community between graduate students and other constituents of the University of California, Irvine. Its main goal is to encourage interaction among graduate students. To encourage such relationships, the committee seeks out venues and implements creative themes, hosts social and community events, and represents AGS at campus-wide events. Moreover, it serves to inform the campus community of the presence of AGS and its commitment to a well-rounded graduate student experience.
II. Responsibilities:
- 1. General Committee Responsibilities
- 1.1. To create opportunities for graduate students to strengthen relationships within the community, including but not limited to interactions of the following types: graduate-graduate, faculty-graduate, administration-graduate, and undergraduate-graduate.
- 1.2. To network and solicit participation from the greater graduate community.
- 1.3. To strategically use social funds to expand AGS influence.
- 1.4. To generate proposals for allocation of AGS Social funds in conjunction with the AGS Council.
- 2. Responsibilities of Committee Members
- 2.1 Meeting Attendance.
- a. Committee members must notify the social chair of absences one day prior to scheduled meetings.
- b. Committee members may have 2 unexcused meeting absences per quarter.
- 2.2 Event Attendance.
- a. Committee members must notify the social chair of event absences at the beginning of the quarter.
- c. Committee members may have 1 unexcused event absence per quarter.
- 2.3 Provide the committee with recommendations regarding the schedule of events and feedback regarding departmental views of past events.
- 2.4 Perform assigned pre-event tasks.
- 2.5 Attend all events and help with duties as needed.
III. Committee Membership:
- 1. Members.
- 1.1 Voting:
- a. AGS Social Committee chair.
- b. 4-8 graduate students
- 1.2. Non-Voting:
- a. AGS VP Internal
- 2. Removal of Committee Members
- 2.1. All committee members must be UCI graduate students in good standing.
- 2.2. Committee members may be removed by the AGS Council for non- attendance.
- 3. Committee Appointments
- 3.1 The members of the social committee will be appointed at the first fall meeting of each academic year for a one- year term.
- 3.2 The AGS Vice President Administrative Affairs shall solicit applications and the AGS council shall approve all Graduate Student Members.
- 3.3 When a vacancy occurs on the committee, the AGS Vice President Administrative Affairs will be requested to advertise the open position and make an appointment to fill the remaining term in office within two weeks of notification of the vacancy.
IV. Procedural:
- 1. Oversight: Committee oversight by Vice President Internal Affairs
- 2. Recommendations are to be approved by simple majority.
- 3. Quorum is required for all votes and consists of the Chair and 3 additional voting members.
- 4. Proxies: Each position is responsible for appointing their own proxy prior to the scheduled meeting.
- 5. Meeting and Event Scheduling
- 5.1 Meeting Frequency: The Social committee shall meet at least twice a month.
- 5.2 Meeting Time: At the beginning of each quarter the committee shall set the time and date for all meetings.
- 5.3 It is expected that at least one social event shall be held each quarter and the events be diverse in nature.
- 6. Meeting Minutes.
- 6.1 The Social Chair shall designate one member to take minutes at each meeting
- 6.2 Meeting minutes shall be posted to the AGS Social Committee site within one week of each meeting.
