Pub Advisory Board Meeting 11-12-08

1. Called to order 7:10 (Sam Danziger)

Business and social committee added to agenda – 4.5

3. Special Topic: Review PAB charter and history

4. Accomplishments of 2007-2008 PAB Discussion

            Jessie Weber: Advertisement with AGS funds/ Halloween Fliers/ Marquee       Advert (Only AGS can put one up not the Pub)/ Verano and Palo Verde

            Photo Contest: Only 4 entries, but a lot of interest

            Suggestions for changes in aesthetics : Pub doesn’t have enough to have made     many of the suggested changes

            Preben: Expansion committee has made some progress – long process to            implement

            Sports memorabilia has been put up in the pub
           
            Lighting could be better (remove fluorescent blubs)
           
            Would like to bring in more entertainment: Bands/DJs/community outreach

4.5 Business and Social Committee (BSC): Clarification of Relationship to PAB

            (Sam) If Buisness and Social committee would like to plan a party, contact PAB   and tell PAB how much $ they are going to spend on the party.
           
            BSC (Joel) can have input on parties by attending the PAB meetings and             coordinate with PAB for volunteer recruitment etc.

            BSC (Joel) would like to throw a holiday party at the pub: Tickets/ extra ticket      incentive for ugly holiday sweater etc.

            Prospective Holiday Party date: Saturday December 6th  
            Budget range for Holiday part: $1500-2000.
           
            Jessie: From Pub perspective the best day for an external party is Saturday.

            (Matt) Suggested liaison between PAB and BSC. Jordan: suggested official         liaison   position. Liaison would be
           
            Unanimous vote (7) to create liaison between PAB and BSC.

5. Pub Entertainment Sub-Committee

            (Matt) Role is to bring in outside entertainment to increase outside attendance of   the pub.
                        - one idea was to post fliers around the music department to solicit for                              entertainment.

            (Jessie) Matt did create a calendar of events which is new.

6. Pub Art subcommittee – Preben chair

            Student center board has access to art, Sam sits on this committee and plans to     bring Preben along for these meetings and try to aquire art for the pub and      coordinate with student art show.

            Preben: Scott says all pub furniture is still in storage
            Sam: Furniture could have been damaged/destroyed in storage
           
            Matt Agleton and Melanie Matheu will sit on the Pub Art subcommittee

7. Pub Expansion Committee – Sam

            3 Places for Potential expansion:
                       
                        1. Terrace Study Lounge: Graduate student study lounge for the next 2                                                                        years- but would be cheapest
                        2. Patio: Most desirable but most difficult due aesthetics
                       
                        3. East side/Cafeteria

            Hierarchy of “to-dos” for the Pub advisory board:
                        - Student center board
                        -Have administration get official campus contractor estimates
                        - Financial commitment from ASUCI
                        - Present hard numbers to administration (Dan Doros Jack McMannus sp?)
                       

            Chris Dunkel – what are the costs involved in pub expansion?

7.5 Fliers (Jordan Vincent)

            - Halloween Fliers for the Pub were posted in student housing
            - Ideas for fliers?
                        - Fliers (making and posting) added to Entertainment Committee,

            - Entertainment Committee changed to:
                         “Advertisement and Entertainment Committee” (7 votes for it –                                                  unanimous)

                                    - responsibilities now include Marquee and Flier creation
                                    First order of business for this committee
                                                - Hours and Happy Hour Advertizement
                                                - Web page: Hours/Happy Hour/ collect comments from                                                                                  pub goers
                                                - Suggestion for gmail account for the pub to collect                                                        comments, sort through comments for Scott.

8. New Business:
                       
                        i. Chris: Suggestion for Alumni Relations/Outreach for $ to support the                             pub. Alumni party etc.

                        Melanie: suggested outreach to both graduate and undergraduate alumni.

                        ii.Jessie: Concern based on Welcome Week Party. Original plan was to                            have it at the pub. We should research how we could get extra space to                              have larger parties (fire marshal approval) just to know if we can have                             larger parties on the premise and what the total number of people we can                                     host would be.
                       
                        Sam: We had tentative permission for extra space approval.

                        Joel: BSC feels that Pub overcharges for alcohol and that it is less                                                expensive to go outside. Less expensive to host parties outside of the Pub.

                        (Carrie Carmody) Welcome week party was a special exception for AGS.                                   +/- 200 people total 400 people limit (Dan Doros). Pub would only charge                                    full retail for beer. Robert and Jack McManuss gave us everything at                                   wholesale and cut 10% off of service too.

                        Provided more alcohol and food (nearly double food than what would                               have been provided through the Pub). 625 person turn-out at the Welcome                             Week party would have been too much for the Pub. Entire patio would                                  have been necessary for the party, would have had to hire security.

                        Largest turn out for the Summer Parties ~190 which was perfect for the                          Pub.

                        (Sam) Olympic Party: Pub was at capacity ($8/person + pizza)
                         ~ $2000/200 people. Welcome Week Party ~$10,000/625 (heavily                                   subsidized).

                        (Joel) BSC feels that there should be more variety in pub parties.

                        (Sam) Suggested rough numbers for BSC committee spending ½ budget                           on pub parties, ½ on other outside parties.

                        Pub income is responsible for 1/5th of the budget.

                        (Matt) Is there any progress on how we aquire the 1/3rd of profits.

                        (Sam) Will not be addressed until Pub pays off Summer Debit.

                        (Jordan) Can the pub advisory board have a budget.

                        (Sam) potentially… not set up now.

                        vi. (Preben) Meeting Time for Pub Advisory Board

Summer nights are a smaller crowd but good projections.
Friday nights. Tickets (2 perp erson) $4 is a good price
Summer series tailed off at the end. Middle ground of how often to do it. 4 being a good number of events
Happy Hour during our Prices:
Alana asked for it. Accomidation. Stretch tickets out more. A malt discount for huge beer sales.
Business committee communication.
Pub advertising sub committee:
Jessie weber: found a new band. Free. Semi-professional.
Draft a flier. Once a month hash out a new one. Place around campus
Contact monica from ASUCI for the publicity posters.
Student government interaction AGS and ASUCI.
Hosuing: newsletter that we can post in?
AV advertising.  General rule for fliers- post till date.
 Pub art and asthetics:
GOOD JOB MELANIE!
Renovation will bring a lot of asthetic appeal too.
Furniture from old pub is in storage, can we access it? Over the course of 2 years, rats have destroyed the uphlostrey. Unstructurally sound furniture according to the storage place. Rumor of auctioning, possibly buy it back.  The tables are our best option and highly sought.
Create neighborhood bar atmosphere. Photo contest. Pub Polaroid camera, photo board the fun!
Any of the old art in the pub? Anyway of getting it back? Was inquired about it with Bryce, process of allocating the art to other places ie zotzone. Response is now private so why would we?
Generally receptive through the student center board.
Credit card discussion:
Cash only is the way to go. Keeps business flowing
People know about it.  The Point of sale would cost too much 10,000-20,000
In terms of sales you get about $7 for beer and $ 6.50 for food.
Beer selection and comfortability. Complaints of  no swill zone. No Budweiser!
The US beers are great, Newcastle vs. nautical nut brown ale. Building a neighborhood bar theme.
Beer of the month- a keg that just wont sell, sell for a cheaper price. Rotate the beers to burn out of the stuff that wont sell.
New business:
Issue #1:
Outstanding issues- between AGS n Pub the original idea was that AGS was a third partner in the pub and as such to the profits. This relationship is illegal. Cant associate with alcohol sales. Sat with Tim and an attorney. Every year set a % of sales that might be a 1/3 of profits and go ahead and adjust the rent that the pub pays to AGS. Principally it is good ahead. Opposition- WILL FALL BEHIND! We get along with tim but it relies on good faith, rather than a contractual agreement. Share of profits means share of responsibilities. For improvements or cash reserves like a dry summer and doesn't needa line of credit.  If AGS drops the ball and doesn't collect, then a VP finance will look at the budget and ask where the $$ went. Will get AGS back on the ball.
Rough timeline. Friday meeting with sandy winslow for an admin perspective.
Time will fill in on the language of the contract. Ags exec/tim/admin all on same board
Will move for feburary approval. Meet in june to discuss what exactly will be done.
Pub is a 10-year contract. Is the contract under review after 2 years? Should be 10-year between UCI and the PUB
Issues #2:
Pub taste tester. Pub pays for it. Tim would like AGS to pay for it. Comes out of Tims pocket. Business expense having a hard time justify. $20-30/month.
Designer Discussion:
Renovation of furniture.
Is pub in position to help? Structural investment? Booths-getting rid of pillar.
We need to look at the costs. If we are talking about moving walls or the pillar, the pub is a tenant and a small business. the students should make the pub what it is, not put the bill on the pub.
Minor changes:
Soft tip darts-probably wont work because of liability- and shuffle board (12-18ft) and chess top tables.
Lighting- no bright lights!
$500 for wood liner around the wall. Melissa volunteered! Pub is ok with helping pay for it.
Juke box.
Window covering- pull down screens. Plastic.
PAINTING!!!
Photos- sally Peterson dean of students. Slide show from the ALL-UNIVERSITY Confernce in September.
Partition the space with higher seating- 16 extra high seats in storage.
Sofas
Major Changes:
Ceiling drop. Better light over the bar.
acoustic cloud is already in place, probably the same manner of dropping the ceiling. We need a better assessment.
Corkboard and chalkboard spaces. Like a social networking place.
Section the area, so it doesn't feel like a cafeteria.
New flooring system. Probably the most expensive immediate change: Hernandez flooring (LA). A fake wood concrete stamp. Roughly $4000. Done in half a day.
Plants and partitions? furniture partition?
Standup bar around the wall. get rid of the windows? Second phase construction. Closing them off is very simple. Match the wall with the tile motif?
Expansion:
Patio- non smoking. Drawings of the expansion, other possible location as well.
Immediate goals:
Get rid of the lights.
Chalk board and cork board.
Sound reflectivity of the new cork board based acoustic clouds.
Long term goals
WISH LIST DISCUSSION:
Kitchen gear will be paid for by the pub.

ASUCI +AGS +PAB interaction: megan braun
Financial terms: we need legislative council and all executive board members to be on the same board. Full finaincial statement of what will happen. All the plans and proposals, why we need expansion, why we need the patio, costs. How much $$ needed, in what terms, when paid back? At what interest? ASUCI would take it very seriously.
What is the likelyhood of ASUCI giving money to the Pub for some expansion. $150K? marquees we have in the student center set a precedent of this gifting. $10k? small amount of the reserves but it still depends, possibility. Depends on the presentation.

Hi Everyone,

Thanks for your support as I transition into the VP finance position. Obviously I don’t have as much experience as Sam, but I’ll be doing my best to make sure everything both runs smoothly and moves forward with the Pub over the next 5 ½ months. Any suggestions and helpful tips/pointers are always, always welcome!

Our next meeting is Wednesday January 28th, 5pm to 7pm in Aliso Beach A
(full calendar of meetings at the end of the agenda)

Important Notes

1) There is now a vacant seat on the Pub advisory Board. Sam has been invited to attend until the election (AGS meeting Feb 10th) but can not participate as a voting member.

2) The Architectural Designer (Josh) will be attending this meeting and presenting an update on renderings and designs that he has produced, input and critique is critical at this stage of the project as it is almost finalized.

3) We have procured a wood flooring/custom design instillation specialist who runs his own company and is willing to provide us with brochures of wood samples. Eventually he will provide us with a quote for re-doing the floors. He (Preston) will also be at this meeting.

4) We are tasting Brown Ales, Sam has volunteered to pick these up (thank you!).
